eHallMonitor is designed to support safe and efficient school operations while protecting student, educator, and institutional data. This page outlines our security practices, privacy commitments, and terms of use.

Protecting school and student information

eHallMonitor uses administrative, technical, and organizational safeguards intended to protect information from unauthorized access, disclosure, alteration, misuse, or loss.

Secure cloud infrastructure

eHallMonitor is hosted using Google Cloud infrastructure and managed cloud services.

Encrypted connections

Information transmitted between users and eHallMonitor is protected using HTTPS and modern transport encryption.

Role-based access

Access to student and campus information is limited according to authorized user roles and institutional permissions.

Data is stored using managed systems that include encryption, access controls, monitoring, and backup capabilities.

Access controls

Schools and districts control which staff members are authorized to access eHallMonitor. Users should access only the information necessary for their assigned educational or administrative duties.

Authentication and account security

eHallMonitor supports authenticated access and may integrate with approved single sign-on providers. Users and institutions are responsible for protecting login credentials and promptly reporting suspected unauthorized access.

Data minimization

eHallMonitor is designed to collect and use only the information reasonably necessary to provide digital hall-pass, supervision, reporting, and related school-management functions.

System monitoring and maintenance

We monitor and maintain the eHallMonitor platform to support availability, performance, and security. Software and infrastructure may be updated as needed to address operational or security concerns.

Backups and continuity

Managed backup and recovery measures are used to reduce the risk of accidental data loss and to support restoration of service when reasonably possible.

Security incidents

If we become aware of a confirmed security incident involving school or district data, we will investigate the incident and provide appropriate notice to the affected institution in accordance with applicable contractual and legal requirements.

Responsible disclosure

Suspected vulnerabilities or security concerns should be reported to team@ehallmonitor.com . Please do not publicly disclose a suspected vulnerability before we have had a reasonable opportunity to investigate it.

No advertising or sale of student data eHallMonitor does not use student information for targeted advertising and does not sell student information.

Privacy built for educational environments

eHallMonitor is committed to protecting the privacy of students, educators, administrators, and the schools and districts we serve. This Privacy Policy explains the information we process and how it is used.

Information we may collect

Depending on the configuration selected by a school or district, eHallMonitor may process information such as:

  • Student name and student identification number
  • Grade level, campus, and district information
  • Teacher, staff, and authorized user information
  • Hall-pass destinations, times, durations, and status
  • Usage records and administrative settings
  • Technical information needed to operate, secure, and troubleshoot the service

eHallMonitor does not require Social Security numbers, payment-card details, medical records, or other unrelated sensitive personal information to provide its standard services.

How information is used

Information is used to provide and support eHallMonitor's school management functions, including:

  • Creating, approving, monitoring, and ending digital hall passes
  • Supporting student supervision and campus operations
  • Applying school-selected restrictions and pass limits
  • Generating reports for authorized school personnel
  • Maintaining account security and platform functionality
  • Providing technical support and resolving service issues

School and district control

Schools and districts determine which users may access eHallMonitor, what information is entered into the platform, and how the service is used within their organization. Educational records remain under the control of the applicable school or district.

Information sharing

eHallMonitor does not sell personal information. We do not share student information for advertising purposes.

Information may be processed by service providers that support the operation, hosting, security, and maintenance of eHallMonitor. These providers are permitted to use the information only as necessary to provide their services to eHallMonitor.

Information may also be disclosed when required by law, legal process, or a valid governmental request, or when reasonably necessary to protect the security, rights, or safety of users, institutions, or the service.

FERPA and student records

eHallMonitor is designed to support schools and districts in meeting their obligations under the Family Educational Rights and Privacy Act and other applicable student privacy requirements.

When eHallMonitor processes education records on behalf of a school or district, it does so as a service provider under the direction and control of that institution. Each school or district remains responsible for determining its own legal obligations and authorized uses of student information.

Data retention and deletion

Information is retained for as long as reasonably necessary to provide the service, satisfy contractual obligations, maintain required records, resolve disputes, or comply with applicable law.

Schools and districts may contact eHallMonitor to request assistance with the return, correction, or deletion of institutional data, subject to applicable contractual, technical, and legal requirements.

Children's information

eHallMonitor is provided to students through participating schools and districts for educational and administrative purposes. It is not marketed directly to children for independent consumer use.

Cookies and similar technologies

eHallMonitor may use cookies or similar technologies that are necessary for authentication, session management, security, user preferences, and essential platform functionality.

eHallMonitor does not use these technologies to deliver third-party targeted advertising to students.

Terms governing use of eHallMonitor

These Terms of Use apply to individuals and institutions that access or use eHallMonitor. Use of the service is also subject to any applicable order form, quote, subscription agreement, or separate written agreement with Edu App Campus Solutions, LLC.

Authorized educational use

eHallMonitor may be used only for lawful educational, administrative, safety, and operational purposes authorized by the participating school or district.

Prohibited activities

Users may not:

  • Access accounts, records, or systems without authorization
  • Attempt to bypass security or access-control measures
  • Disrupt, damage, overload, or interfere with the service
  • Upload malicious code or use the service for unlawful purposes
  • Copy, reverse engineer, reproduce, or redistribute the service except as permitted by law or written agreement
  • Use information obtained through eHallMonitor for purposes not authorized by the applicable school or district

Accounts and credentials

Users are responsible for maintaining the confidentiality of their credentials and for activity performed through their accounts. Schools and districts are responsible for promptly removing or updating access when personnel roles change.

Institutional responsibilities

Schools and districts are responsible for configuring and using eHallMonitor appropriately, maintaining accurate roster and user information, determining authorized access, and complying with applicable laws and local policies.

Availability and changes to the service

We work to keep eHallMonitor available and functioning reliably. However, uninterrupted or error-free operation cannot be guaranteed. The service may occasionally be unavailable because of maintenance, upgrades, third-party systems, emergencies, or circumstances beyond our reasonable control.

Features may be added, modified, or discontinued as the platform is improved. We will make reasonable efforts to notify customers of material changes that substantially affect their use of the service.

Intellectual property

eHallMonitor, including its software, design, branding, documentation, and original content, is owned by or licensed to Edu App Campus Solutions, LLC and is protected by applicable intellectual-property laws.

Schools and districts retain their rights in the data they provide to or generate through the service.

Suspension or termination

Access may be restricted, suspended, or terminated when necessary to address nonpayment, misuse, security threats, unlawful activity, or material violations of these terms or an applicable agreement.

Disclaimer

eHallMonitor is a school-management tool and does not replace the judgment, supervision, emergency procedures, safety plans, or legal responsibilities of school personnel or institutions.

Limitation of liability

To the fullest extent permitted by applicable law, Edu App Campus Solutions, LLC will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from use of or inability to use the service.

Any additional warranties, limitations, service commitments, or remedies may be established in the applicable subscription agreement, order form, or other written agreement.

Changes to these policies

We may update these policies to reflect changes in the service, security practices, legal requirements, or business operations. Material changes affecting customer data or use of the service may also be communicated directly to participating schools or districts.

Governing law

Unless a separate written agreement states otherwise, these terms are governed by the laws of the State of Texas, without regard to conflict-of-law principles.
